Situation 

A major health system in the Pacific Northwest transitioned from paper records to Epic Electronic Medical Records. The system had one million paper documents that were generated prior to the Epic implementation. Following the implementation, these paper documents were retained in a loose form and not electronically associated with the respective patients. It was imperative that the documents be scanned, indexed and electronically assigned to the proper charts. The Health System’s staff did not have the resources to manage the current discharges in addition to reducing the backlog that existed from the conversion effort. 

Solution

Kforce Healthcare Solutions immediately implemented a swarm team of seasoned recruiters to locate local resources with healthcare backgrounds to commence the project and provide effective support with minimal training. We recruited and assigned 66 local consultants in less than two weeks. The group of consultants was divided into three teams which worked in an offsite location to scan and index the documents. The consultants operated in three shifts, to give true 24/7 support.

Outcome

All one million documents were successfully scanned, indexed and electronically assigned to the proper patient charts. The project was completed in half the time expected by the client.
